1 Overview

FRAS 2.0 (Facial Recognition Attendance System) is the official mobile application developed by the Directorate of e-Governance / Tamil Nadu e-Governance Agency (TNeGA), under the Information Technology and Digital Services Department, Government of Tamil Nadu.

This application is designed to capture and record attendance of government department officials, institutional faculties, and students using facial recognition technology.

2 Information We Collect

To provide the attendance recording functionality, FRAS 2.0 may collect the following categories of information:

• Facial images and facial recognition data used solely to verify your identity and mark your attendance.

• Geographic coordinates (geo-tag) at the time of marking attendance, to confirm the user is present within the designated premises.

• Device model, operating system version, and application version for diagnostics and compatibility.
• Network information required to sync attendance records with the server.

• Employee ID, faculty ID, or student ID as registered in the participating institution's database.
• Name and department/institution affiliation.

3 How We Use Information

Information collected through the application is used exclusively for the following purposes:

• To authenticate and verify the identity of the user through facial recognition.
• To record and maintain attendance logs for government departments, institutions, or educational bodies.
• To geo-verify that attendance is marked from an authorised location.
• To sync attendance records with the central server/dashboard maintained by the relevant department or institution.
• To ensure system integrity, diagnose technical issues, and improve application performance.
• To comply with applicable government regulations and directives regarding attendance management.

Your information will not be used for advertising, profiling, or any commercial purpose.

4 Data Sharing

TNeGA does not sell, rent, or trade your personal information. Data may be shared only in the following limited circumstances:

• Within Government Departments: Attendance records may be shared with authorised officials within the concerned government department or institution solely for administrative and reporting purposes.
• Legal Obligations: We may disclose information if required to do so by law, court order, or government directive.
• System Administration: Authorised technical personnel within TNeGA who maintain the FRAS infrastructure may access data strictly for operational purposes under confidentiality obligations.

No attendance data or biometric data is shared with any commercial third party.

5 Data Security

We take the security of your personal and biometric data seriously. The following measures are in place:

• Encryption in Transit: All data transmitted between the application and our servers is encrypted using industry-standard protocols (HTTPS/TLS).
• Access Controls: Access to attendance data is restricted to authorised personnel only, using role-based access control mechanisms.
• Secure Infrastructure: The application's backend is hosted on government-approved secure infrastructure.
• Biometric Handling: Facial recognition data is processed for the purpose of verification and is not stored as raw images beyond what is required for the verification process.

While we apply reasonable safeguards, no electronic transmission or storage system is guaranteed to be 100% secure. We are committed to continuously improving our security practices.

6 Data Retention

Attendance records are retained for the duration required by applicable government policies and regulations governing service records, institutional records, or academic records. As declared on Google Play, data collected through FRAS 2.0 cannot be deleted by the user, as records are official government attendance logs maintained per statutory requirements.

Requests for correction of attendance records (in case of errors) must be submitted through the appropriate institutional or departmental channels.

7 App Permissions

These permissions are strictly necessary for the core functionality of the application. Denying any of these permissions may prevent the application from working correctly.

8 Children's Privacy

FRAS 2.0 is rated for users aged 3 and above on Google Play; however, its actual use is limited to authorised government employees, institutional faculty, and students who are enrolled in participating academic institutions. The application is used in supervised institutional environments.

For minor students whose attendance is recorded, the data is collected and processed with institutional authorisation under applicable government policies. Parents or guardians with concerns may contact the respective institution's administration.

9 Your Rights

As a user of FRAS 2.0, you have the following rights with respect to your data:

• Access: You may request a summary of your attendance records through your department or institution.
• Correction: In case of errors in attendance records, you may request corrections through your institution's or department's designated process.
• Queries: You may raise queries or concerns about how your data is handled by contacting TNeGA through the details provided below.

Given that attendance data constitutes official government records, deletion of such records by the user is not permitted under applicable regulations.

10 Changes to This Policy

TNeGA reserves the right to update or modify this Privacy Policy at any time. Changes will be reflected by updating the effective date at the top of this document and, where appropriate, communicated through the application or official channels.

Continued use of the FRAS 2.0 application after changes to this policy are published constitutes your acceptance of the revised policy. We encourage users to review this policy periodically.
